Regional Reps in attendance: Earle Gillard (Northern Rep, Robin DeGraaf (Lower Mainland Rep), Ernie Connolly (Interior Rep.) Call to Order: 7:22 pm Amendments to Agenda: Change the fiscal year due date. (To be discussed under treasurer's report) Minutes of Sept 02, 2005 AGM: Cheryl DeGraaf read the minutes. Marcel Pinette motioned to accept minutes as read. Seconded by Robin Degraaf. Carried. Correspondence: Cheryl Degraaf read a letter from the Winfield Club (See attached) Financial Report (Dorothy Krimmer): Please note that the Financial Statements being presented are not the final statements for the current fiscal year. It is physically impossible to present a proper reconciled statement at this time due to August 31st being the end of the fiscal year. The statements you have are up to August 28th and whereas most of the income is in. last minute entry fees sent to Sam are not included as there was no way to get the money to me prior to my leaving Victoria. Having checked out the BC Horseshoe Association Constitution and By-Laws revised September 2000; I noted that under Part 16 article 16-3 reads: The fiscal year shall commence on April 01st and close on March 31st the following year. Somehow or other over the years, due to the Annual General Meeting being held in conjunction with the BC Championships, it seems the year end report date was changed to August 31st. Therefore I would like to make a motion that article 16-3 of our By-Laws be amended to have our fiscal year take place form August 1st to July 31st the following year. (Dorothy Krimmers motion, Vince Herkel seconded and it was carried) This motion would enable the treasurer to have all the final entries done including reconciliation of all accounts, entries pertaining to adjustment of inventory supplies, Bank Reconciliation and drawing off of the final statements to be presented at the AGM at the BC Championships four (4) to five (5) weeks later. Both the BC International and the BC Championship revenues and expenditures would be recorded. This year the revenue (entry fees) for the BC Championships have been recorded but the pay out of prize monies has not as those cheques are dated in September. Now for the current statements, which I have presented to you - I am not the kind of person who goes over every item verbally. I am positive that all the Delegates attending this meeting can read so I am hopeful that you have looked the statements over and if you have any questions, feel free to ask them and I will do my best to answer. Finally I would like to thank Dick Hopkins for his invaluable help when I've been in a quandary. I have been able to email him and have received prompt responses. Also to Sam who has also been an invaluable source for me as I learn the ropes. Although I've been the Treasurer of the BC Seniors Games, Zone 1, for the past 8 years, each and every organization has different needs and desires. I have found this past year has been one of constant learning (and a lot of work) but I am hopeful that my second year will go much more smoothly. Marcel asked, "IF we condense the report will it effect our grants?" Sam said that it would not affect our grant submissions. John Hamler asked about Directors expenses to go to meetings etc. and was directed to page 2 of the treasurer's report. John Hamler motioned that treasurers report be accepted as read. Marcel Pinette seconded. Carried. Regional Reports: Phil asked how positions for regional reps are established. Reply was how hard it is to get anyone to be a rep. North (Earle Gillard) Earle asked Robin Degraaf about the percent pins and Robin said that he would try to get them straightened out. Robin added that he would give the percent pins out once a year at the BC Championships to the pitchers who are in attendance and for those not in attendance he would give them to their area Reps. * The Quesnel Horseshoe Pitchers Club continues to grow.... Our membership is now close to 30. We have welcomed back to our club Marcel and Gloria Pinette and their family members. New members are enjoying the Wednesday fun nights. On August 16 we counted 22 people, mostly new comers. The August 12/13 Tournament was a little disappointing. 3 other major events in town were a distraction. * I phoned Dave Plemel in Ft. St. John and he says things are not going well up there. They tried to have a tournament but not enough showed up. Gordon Snyder will likely be their only rep at the BC's. * Bonnie and Dennis in Williams Lake have a very busy life apart from horseshoes so the club is not growing. * Prince George is still operating and their fun nights are getting some participants. I trust my successor as Northern Rep will be able to get the faltering clubs back on their feet and get some clubs started in some of the smaller communities. I have enjoyed the work as Northern Rep and will now keep busy enough bringing in the new members in my own club. Thanks for your support. I received a call from Patrica Simpson of Baker School. She wants to incorporate horseshoe pitching into her P.E. program. Teachers had a tournament. Interior/Kootenays (Ernie Connolly) Salmon Arm hosted three tournaments with the first in May, July and one being the Interior Chmpionships. All were well attended. Penticton's May tournament was well attended. I wish I could say the same for their July tournament. It was suggested to change the date from July 21st to the 1st, but members voted it down and had a poor turnout. The horseshoe club has taken over the house and area. In Kamloops we had to scale our tournaments down to one day due to the lack of membership, but everybody pitched in and the turn out was good. Lower Nicola hosted two tournaments this year. The first was in June but ahd to be cancelled the second day due to plumbing problems. The aUust one went off without any problems. Winfield clebrated its 25year anniversary. Island/Powell River (Dorothy Krimmer for Fred Ormiston) Vince Herkel reported for Fred who was away due to his mother's illness. Victoria and Dry Creek both doing very well. The Powell River Windup Tournament was strong. Nanaimo Club growing. Ladysmith is holding its own. The island clubs doing well. The strength is in the leagues. Bert Allen talked about how two-day tournaments the second day attendance really drops off. Lower Mainland (Robin DeGraaf) The entire lower Mainland lower mainland clubs saw a decrease in their attendance at tournaments with the exception of the Cloverdale Horseshoe Club this year. * The White Rock Club still does not get involved in tournaments. * Chilliwack had to cancel the lower mainland championships and may not have any more tournaments due to low membership and illness of the executive. * Buster Buckle of the North Shore Club passed away. * The Cloverdale Club had a successful Last chance and pig roast tournament and fun was had by all. Cloverdale is looking at having up to 6 pits fully covered so pitchers can play in any weather. Committee Reports: Hall of Fame (Dorothy Krimmer for Fred Ormiston) The category this year is Organizer/Promoter. Marcel Pinette enters the Hall of Fame for 2006 Congratulations Marcel. Senior Games June Parsons is the Vice President. It was not a good senior games. Not well organized. Phil said that pitchers in the seniors don't have to be BCHA members land he feels that all pitchers should be members. There were 5 classes. Seniors won't let us take someone from one zone to another zone to fill empty spots. It was noted that the swimmers have to belong to a swim club and just can't come in and swim. Horseshoe Canada Meeting 2005: Vince reported that the 2006 Canadian Horseshoe Pitching Championships were held at Manitou Beach Saskatchewan, from July 26-29th * Approximately 140 competitors participated * All classes had 8 players or less, except for the Men's and Ladies "A" classes * All classes played 40shoes except the Men's, Ladies and Elders "A" classes * Ladies "A" winner, Slyvianne Moison went through undefeated * In Elders "A" Wilf Gregory beet Neil Yaskow in the last game allowing Red Gilmore from Alberta to win without having to have a playoff with Neil Yaskow * Two days before the Men's "A" played, Andre Leclerc told me he was considering dropping out because his playing recently was quite bad and felt that he had just lost it. Slyvianne and I talked to him and we told him and we told him it was all in his head. He kept protesting for the next 2 days and he decided to play. After 2 days of playing Andre held the lead with 10 wins and 1 loss, closely followed by Duncan McKenzie from Nova Scotia and Colin Finnie from Saskatchewan. On the last day of playing Andr‚ lost 2 games and Duncan McKenzie won all of his games, to become the new Canadian Champion. Shortly after winning his last game against Stan Leis of Ontario, Duncan phoned home to Sidney Mines in Cape Breton, Nova Scotia to let them know he won. Hughie his brother told him that when he got back they would have the fire trucks out to greet him. This was Duncan's 4th appearance ain the Canadians. * Dianne Beck stepped down as Tournament Director, a new Director from Ontario Wally Arnold was elected on the condition that Dianne Beck stay on for one more year, since Wally has never run a major tournament and needed Dianne's help for next year * Andre Lecler stepped down as Vice President and Tony Rondow from BC was voted in as the Vice President fro Horseshoe Canada. * Kay McKay stepped down, with Lisa Snellberg from Ontario voted in as the new secretary. * Russell Christopher from Saskatchewan was inducted into the Horseshoe Canada Hall of Fame * Motion to eliminate the senior Ladies and 40' Senior Men's categories was tabled to next year, Noted that as long as they are played in the provincials then they must be held at the national level * Tournament directors positions will be elected for a 3 year term * 2007 Canadians to be held in Woodstock, Ontario * 2008 Canadians to be held in Calgary, Alberta * 25 BCHA participants at Manitou Beach * Woodstock Canadians to be held in their community centre. World Tournament: Jack Adams new regulation book is on the NABH site President's Report: See attached Old Business: * Dick Hopkins still handling the insurance at this time. Renew HUB as per Dorothy. Dick and Dorothy will get some quotes. * Fiscal year August 31/06 no interest no bank statement impossible to have a proper up to date account * Dorothy Krimmer motioned that "Article 16-3 of our By-Laws be amended to have our fiscal year take place from August 1st to July 31st the following year" Seconded by Vince Herkel. Carried Open Floor: * Vince Herkel suggested that when a new member joins a club that the BCHA should have a new member "Kit" to give them. Vince will draw up a "new member kit" and report back to the executive with it. Vince said that Dave Arnold would work on the kit with him. * Bert Allen said that people want to play horseshoes but don't want to compete. What do I do about that? There will always be people who just want to practice and not enter tournaments * Dorothy Krimmer wishes to thank Dick Hopkins as being invaluable to her. I email and he responds back immediately. Thank Sam for his help also. * John Hamler commented on the lack of participation at the AGM Cheryl Degraaf to draft up a letter fro attendance. * Marcel Pinette is resigning as Vice President and thanked the Reps from every area. Good and Welfare: It is with great sadness that we have loss the following people this year, Buster Buckle from North Shore, Glen Lucy, Alexander's wife Estelle, Evelyn Ormiston of Victoria, John Juteau, Lloyd Milton's son, Ted Rerkhert Election of Officers: Marcel Pinette nominated Robin Degraaf.
