BC HORSESHOE ASSOC. EXECUTIVE MEETING PENTICTON,B.C. MONDAY MAY 20th, 2002 Present were --Vince Herkel -President Sam Tomasevic-Past President Dick Hopkins --Treasurer Annie Rayner -Secretary Regional Reps -Ernie Connolly Robin Degraaf Earle Gillard The meeting was called to order by the President at 9:05 a.m. The agenda was ammended to allow Penticton,Vernon and Summerland to speak,before the meeting. PENTICTON- Bert Allen spoke on some of the costs ,rules, protocol,etc. that they were unaware of in bidding for and holding a Major Tournament. One of which was the allocation of the 50 / 50 draws. They presented a financial report from the week-end, up to Sunday p.m. From this , it was decided that a package,with pertinant information, be drawn up by the Executive , to give to successful bidders of our major tounaments. VERNON -Vera Whitnack --spoke on the Ladies A class at this tournament. There was really only 2 A Ladies and 4 B ladies in that class. A problem with no solution offered. SUMMERLAND -Jean Lewis asked about Lottery funding , and Vince is working on that. MINUTES--The Secretary read the minutes from the March 2002 Executive meeting. Motion Sam Tomasevic / Ernie Connolly 'that the minutes be adopted as read' Carried BUSINESS FROM THE MINUTES - Motion Dick Hopkins / Earle Gillard 'that the BCHA accept the Port Alberni Dry Creek Horseshoe Club into the Association, as long as the required fees are paid' Carried CORRESPONDENCE -- --A letter from Earle Gillard re- the Junior program - was given to all the Executive and will be put into the files. --A letter from Dick Hopkins was read --tendering his resignation as Treasurer , as of the end of this fiscal year -August 31,2002. --letters regarding the travel fund were refered to Old business. FINANCIAL REPORT- by Dick Hopkins MOTION Ernie Connolly / Sam Tomasevic 'that the financial report be accepted' Carried Discussions --on generating more dollars into the BCHA , maybe increasing the BCHA fees. --the Insurance went up $ 525 this year. The billings had already gone out to Clubs at the old rate. GAMING GRANT --was received for $ 6,150. Allocation -$ 2300. newsletter 400. trophies & crests for the BC International 650. for trophies & crests for the BC Championships 200. Hall of Fame Plaques 800. BC International - to Host Club 800. BC Championships-to Host Club 700. Tournament director expense for BC Championships and the BC International 200. meeting rooms for executive meetings 100. promotional material & photocopy of such Total -------$ 6,150 a new grant application is being filled for September,2002. REGIONAL REPORTS ISLAND--from Fred Ormiston --given by Vince Herkel This is election year for the Regional Representative and his assistant.This will be held at the Island Champioships.Fred will let his name stand for the Rep, and Tony Rowden for Assistant Rep. Anyone else wishing to run,--please let Fred know. The Tournament in Cumberland looks like it should be well attended.And a Surprise 50th party for Jim Gallant being planned for there. The Port Alberni Dry Creek Horseshoe Club has regular league nights and a membership drive is underway. The Port Alberni Horseshoe club is active with membership drives and promoting a Junior program. Victoria is fundraising for the Canadian, --$ 500. at a Garage Sale;Tickets for a $1000.draw,drawn at the Victoria Open; and a meat draw at a local pub hoping to raise $300. With all their promotions, Dorothy Butts and her team have attracted several new members for their mens and womens leagues. Munj Manhas is the Junior director and had 12 juniors out for their first league night. Victoria has installed two clay courts for practice for the World and Canadian. Indications are 10 going to the World and 20 to the Canadian this year. Victoria will be asking for BCHA cards at all their Tournaments. First one to be the Victoria Open - May 26th.They plan to add up to $ 500. depending on entries. From all reports,the other Clubs are all doing fine. Vince reported that Ladysmith is having a one day Tournament August 4th. Membership is down,but things going well. Nanaimo will have their Tournament in Ladysmith again -June 29 & 30. NORTH -Earle Gillard reported that it is still winter there and not much happening. McKenzie seems keen on getting a Club going this year , and are looking for property. I offered my assistance if needed. I sent information to the Clubs on the Junior Program. Two Quesnel schools responded, but not much interest. Prince George play Tuesday and Thursdays. They need supplies for the Senior Games. Bonnie Herrett is now the contact for Williams Lake. Julie Bowser is not playing this year. INTERIOR -Ernie Connolly reported that Salmon Arm had a good turn out for their Tournament.-43 entries. Thank you to Annie Rayner, Sharon Fraser and Bill Whitnack for running the Tournament. Freda Moore was called away, a death in the family. Our condolances. Lower Nicola also had 43 entries-from the Okanagon as well as the Coast. Thanks to Doris and Doug Wilton, Bill Whitnack, and Sam Tomasevic for Sat.,and Sunday to Sam and Sylvianne Morgan. Doug Wilton and I went to Armstrong one day as they are wanting to get a Club going. However, since they are close to Vernon, maybe they would be better off to join them. Their players should go to a few tournaments this year.,before making a final decision. On September 8th,Winfield is hosting the first Interior Championships. LOWER MAINLAND-Robin Degraaf stated that not a lot is happening yet.--Poor Weather . They are thinking of having an 'invite' challenge at the BC Campionships, and are asking their local RCMP and Firemen. COMMITTEE REPORTS HALL of FAME -This years category--female player.Submissions to be in by July 15th, 2002. SUPPLIES---Horseshoes on order Jackets selling slowly.Order forms have gone out to Clubs. RAFFLE Regional Reps are distributing books to Clubs for selling. SENIOR GAMES - Prince George will do a good job. 2003 Games are in Chilliwack.New Horseshoe Courts will have to be built. CANADIAN --Delegates to be Annie Rayner and Fred Ormiston. Alternate -Earle Gillard. WORLD -- Sam Tomasevic reported that entries are way down from expectations.--less than 1000 entries. Sam has a lot of 'World' Tshirts,etc for sale. AIR MILES - not available. PRESIDENTS REPORT--Vince reported that it has been fun working with every-one on the Executive. The Regional Reps are doing a good job. Some goals are --seeking a Major sponsor --more members , especially Juniors. --promotion and guide lines. OLD BUSINESS--Travel fund pay-out-- Letters asking for funding were received from -- Ladies A champion --Elyse Brunelle Mens A champion --Walter Kinakin Elders A champion -Fred Bodaly They will each receive $ 140.--issued about July 1,2002 Junior Girls champion -Christine Sparks She will receive $ 104. Earle Gillard spoke on his Junior Program,and has some playing in Quesnel. Its a struggle, but he will continue promoting the Junior program. NEW BUSINESS- Motion Earle Gillard / Ernie Connolly 'that the BCHA pay $74.43 for a 'chip' for Sams'camera Carried there will be a proposal put to the AGM 'that the membership dues increase to $ 15.' Reasons for the increase ---printing costs , photocopy , postage, computer supplies, disks, phone calls , travel to meetings $ 100. per year for the horseshoe computer program GOOD and WELFARE -- Irene Goodman -Ladysmith passed away. Our condolances to her family.
